Enterprise Engineering Special Project Coordinator


 

Reporting to a Director in Business Operations, within the Enterprise Engineering organization at Meta, the Special Projects Coordinator organizes and performs a variety of complex duties in direct support of the Business Operations team and the Chief Information Officer (CIO). The Special Projects Coordinator acts independently with limited supervision to achieve specified outcomes. This person's main responsibility will be to manage projects independently in support of the CIO's leadership team as part of the Office of the CIO in conjunction with the Director in Business Operations. This person will also oversee special projects from conception to completion as needed and provide analytical support. Occasionally there may be a need for on-site administrative support for the CIO. They must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion, maintain a realistic balance among multiple priorities, and routinely interface with a wide variety of stakeholders. This person must work collaboratively and effectively to establish and maintain working relationships within a diverse environment, and be committed to creating an inclusive environment for all employees.This position is full-time.


Enterprise Engineering Special Project Coordinator Responsibilities:

  • Work with Executive Assistants, Business Operations Director, and CIO as a part of the “Office of the CIO” - which includes coordinating high priority meetings, assisting with transport for meetings across various Meta campus locations, and assisting with logistics related to CIO travel/events
  • Travel with Meta’s CIO as needed, coordinating with the Executive Assistant on everything that happens on the trip end-to-end
  • Assist with getting onsite guests to and from their locations when meeting with Director of Business Operations and/or CIO
  • Assess the urgency level of a response and, when appropriate, disseminate information on behalf of the Director of Business Operations and the CIO to external and internal stakeholders
  • Works with the Director of Business Operations to oversee day-to-day operations and provide direction and support to the director’s staff
  • Act as a liaison between the Business Operations group and other Enterprise Engineering departments
  • Develop the scope of work for any given project, and integrate goals and deliverables with corresponding metrics for analysis and/or assessment
  • Convey and/or present information to all key stakeholders using appropriate graphical, or alternative relevant format
  • Work on assigned projects to completion, utilizing strong organizational skills, customer service, and business acumen
  • Attention to detail, effective time management and ability to handle multiple competing priorities
  • This is an in-office position, based out of CA
  • Up to 30% travel required



Minimum Qualifications:

  • 4+ more years of experience as an administrative assistant
  • 2+ years project management or coordinating experience
  • University BA/BS degree or equivalent administrative experience required
  • Experience with individuals at all levels in the organization and relationship building skills
  • Critical thinking and problem-solving skills, experience to self-direct, and focus on multiple details simultaneously
  • Experience with Microsoft Office Programs, Google Suite of Apps, Adobe Photoshop, Keynote, Outlook



Preferred Qualifications:

  • 2+ years of experience as a personal assistant
  • Experience organizing projects from start to completion or take over a project with the experience to efficiently problem solve
  • Proven interpersonal skills to work effectively with diverse constituents
